Who we are
Whiteboard is operated by Raise the Bar Fitness in Moncton, New Brunswick, Canada. In this policy, “Whiteboard,” “we,” and “us” refer to Raise the Bar Fitness and the Whiteboard service.
Information we collect
Account and profile information
- Your first and last name, email address, securely hashed password, account role and status, and profile photo if you add one.
- Your notification choices and account activity, such as when the account was created, updated, or last used.
- Your email address is checked with FLiiP when you register so we can confirm that you are eligible to use Whiteboard.
Workout and fitness information
- Workouts, scores, times, weights, repetitions, personal records, benchmarks, workout dates, and notes that you choose to record.
- Visibility choices that determine whether a result or note is shown to other Whiteboard members.
- Whiteboard is a workout-recording service. It does not access HealthKit, your device’s motion or fitness sensors, or medical records.
Community and support information
- Comments, replies, mentions, reactions, hypes, and other content you choose to share.
- Content reports, the reason and optional details you submit, a snapshot of the reported content, moderation decisions, and the members you choose to block.
- Messages and contact details you provide when you use Help & Feedback or contact us directly.
Device and technical information
- Session and security information needed to keep you signed in, protect forms, prevent abuse, and diagnose errors. This can include your IP address, request time, browser or device details, and server logs.
- If you enable push notifications, an Apple Push Notification service device token and platform identifier.
- If you sign in through an app API, a securely hashed access token and an optional device name.
How we use information
- To create and secure your account and confirm membership eligibility.
- To show workouts, save your results, calculate personal records, and provide your workout history.
- To operate the member community, including public results, comments, reactions, mentions, and notifications.
- To send account, password-reset, support, and optional notification emails.
- To send push notifications when you explicitly enable them.
- To provide support, moderate content, prevent fraud or misuse, maintain security, and improve reliability.
- To comply with legal obligations and protect the rights and safety of members, Raise the Bar Fitness, and others.
What other members can see
Whiteboard includes shared gym and community features. Other signed-in members may see your name, profile photo, public workout results, public notes, personal-record activity, comments, reactions, and hypes.
Information marked private is designed to be visible only to you and authorised Whiteboard administrators. Before posting, remember that anything you choose to make public can be read by other members.
Your reports, report details, and blocked-member list are not shown to other members. Authorised administrators can review them to investigate safety concerns and enforce the Community Guidelines.
When we share information
We do not sell or rent personal information. We share only what is needed to operate Whiteboard, respond to you, meet legal obligations, or protect the service.
- FLiiP: We use your email address and the minimum membership-status fields needed to verify that you are eligible to use Whiteboard. If a targeted lookup is unavailable, Whiteboard may keep a short-lived cache of only those minimum fields for up to five minutes.
- Brevo: We use Brevo’s email-delivery service for welcome messages, password resets, support replies, and optional notification emails.
- Apple: If you enable push notifications on iPhone, we send the device token and notification delivery data through Apple Push Notification service.
- Hosting and technical providers: Our hosting and infrastructure providers process information needed to run, secure, back up, and troubleshoot Whiteboard.
- Legal and safety reasons: We may disclose information if required by law or when reasonably necessary to investigate misuse, enforce our rules, or protect someone’s rights or safety.
We require service providers that handle personal information for us to provide the same or equivalent privacy protection described in this policy and to use the information only for the services they provide.
Cookies and local device storage
Whiteboard uses a secure session cookie to keep you signed in and protect your account. The cookie can remain valid for up to 90 days while you continue using the service. You can end the session by signing out.
We use local device storage for your light or dark theme choice and, in the iPhone app, to manage push-notification registration. Whiteboard does not use advertising cookies or third-party analytics trackers.
Retention and deletion
We keep account information and the content you create while your Whiteboard account is active, or for as long as reasonably needed to provide the service. Short-lived security records, such as rate-limit attempts, are routinely removed. Some technical logs, email-delivery records, or routine backups may remain for a limited period after the live data is deleted.
You can permanently delete your Whiteboard account in Profile > Account > Delete Account. This removes your Whiteboard profile, photo, workout history, personal records, comments, reactions, hypes, notifications, access tokens, push tokens, and other account-linked app data from the live service.
Deleting Whiteboard does not cancel your Raise the Bar Fitness or FLiiP membership. Contact us separately if you need help with your gym membership.
Your choices and rights
- Review and update your name, email, photo, visibility choices, and notification settings from your Profile.
- Turn email notifications off from Profile or use the unsubscribe link in a notification email.
- Disable push notifications from Profile or iOS Settings.
- Report community content that may violate our rules, block another member, or manage your blocked list from Profile.
- Delete individual content where that option is available, or delete your entire Whiteboard account.
- Ask us to explain how we use your personal information, provide access to it, or correct inaccurate information.
- Withdraw consent where our use depends on consent. Some information is required to provide a secure Whiteboard account, so withdrawing it may mean the service can no longer be provided.
Security and international processing
We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle, including encrypted connections, hashed passwords, restricted sessions, access controls, and request protections. No online system can guarantee absolute security.
Raise the Bar Fitness is based in Canada. Some providers, including email and push-notification services, may process information in other countries where privacy laws and lawful access rules differ from those in Canada.
Young members
Whiteboard is intended for eligible Raise the Bar Fitness members. If you are not old enough to provide valid consent where you live, use Whiteboard only with the involvement of a parent or legal guardian. A parent or guardian can contact us about a young member’s information.
Changes to this policy
We may update this policy as Whiteboard changes. We will post the revised policy here, update the effective date, and provide additional notice when a change is significant.

Contact Raise the Bar Fitness with a privacy question, request, or complaint. We may need to verify your identity before providing access to or deleting personal information.
